Frequently Asked Questions

What is a virtual conference and what can I expect?

Due to current challenges and restrictions for large in-person meetings, we have decided to transition our in-person event to a fully virtual conference and exhibition experience. We will be offering the same great content our AAOHN attendees have come to expect in an innovative, engaging virtual format that you can participate in from the comforts of your home or office. Attendees may earn up to 23 CNE credits all with the click of a button!

Why did you decide to cancel the in-person meeting?

After much discussion, the AAOHN Board of Directors made the difficult decision to shift the conference to a full online virtual meeting and exhibit hall experience. The health and well-being of our conference attendees always remains the top priority. We believe this shift in event format is in the best interest of our attendees and partners, and we are confident that we will be able to provide the same great education content and experience in an even more dynamic and interactive digital knowledge exchange.

Will the dates of the conference remain the same?

The AAOHN National Conference will be held virtually on April 13, April 14, April 20 and April 21, 2021, with new content available each day. We recommend that you treat these as “out of office” days if you can, so that you are able to focus 100% on your education and learning needs.

Will there be an opportunity to attend pre-conference workshops virtually?

AAOHN will not host pre-conference workshops during our 2021 National Conference. AAOHN is working to offer both the Leadership Academy and NP Boot Camp as additional education courses. As more information is available, we will continue to share that information.

Are there any engagement opportunities for exhibitors and sponsors?

Yes! AAOHN will have a full virtual exhibit hall experience where attendees can meet with exhibitors and sponsors to learn about new products and services, similar to the exhibit hall experience during an in-person meeting. The schedule each day has specific times to visit the exhibit hall and earn prizes.

What is included in the virtual conference registration?

Full conference registration includes all live education sessions Tuesday, April 13 through Wednesday, April 21 as well as the recordings of all sessions. Attendees will also have the unique opportunity to explore the virtual exhibit hall and discuss the latest trends with industry experts during exhibit hall hours. CNE can only be earned if viewed through your unique registration. The Practice Exchanges/Research Collaborative, Wednesday, May 5, will be included in your conference registration but offered after the official conference.

What are the registration policies? What if I need to cancel?

Because all AAOHN National Conference sessions will be available for on-demand viewing, only in the case of loss of employment, death in the family or other extenuating circumstances will a refund be issued. To request a refund, you must contact AAOHN at with documentation of your reason for cancellation by Tuesday, March 16, 2021. Telephone cancellations are NOT accepted for refunds. After Tuesday, March 16, 2021, there will be no refunds for registrations cancelled whatsoever. Substitutions can be made, without a fee, by contacting the registration team at

When does my payment need to be received to ensure I have access to the Virtual Meeting platform?

Tuesday, April 6, 2021. Registrants will not have access to the content until payment is received and processed. If your payment is not received by April 6 you may not be able to access the platform once content starts on Tuesday, April 13.

When will I be able to pre-register for the educational sessions? Do I have to do this when I register?

You do not need to pre-register for conference sessions during the registration process. All sessions will be available on-demand if you are unable to make it for the live session.

We do recommend that you block your schedule for live viewing of select sessions.

There will be light appetizers served at the Welcome Reception on Monday, breakfast on Tuesday and Wednesday in the foyer space outside of the General Session Room, and lunch on Wednesday in the Exhibit Hall. During the registration process, you have the opportunity to alert us of any special dietary requirements or food allergies. If you have already registered, you can still access your registration and edit your information.

Group Registration

Due to COVID-19 our employees are working remotely, can we take advantage of the group rate working individually from any location?

Yes, individuals within the group registration do not need to be in the same location to attend, however they do need to be from the same organization. Please contact the registration team at to see if your organization qualifies for a group discount and for further instruction on how to utilize the discount.

How many people must be included to get the group registration discount?

There must be a minimum of five (5) registrants from the same organization. If your company will be sending more than 49 individuals to the National Conference, please contact for additional instruction and discount information.

Does everyone from the group need to be registered at the same time?

No! Individuals from your organization can be registered on their own timeline. AAOHN staff will be auditing group registration to ensure attendees are from the same organization. If you registered using a group discount that is not applicable to you, you will be re-registered at the prevailing appropriate rate and invoiced for the difference in cost. Registration adjustments including transferring registration and price adjustments cannot be made after April 6.

Does the payment need to come from the organization for the group or do we pay individually?

Payment can come from the individual or from the organization.

Do we pay the group rate for each person?

Each person will receive the group rate. Each person will register separately and receive their own log-in information and CNEs for attending sessions. Only those who are registered will receive CNE certificates.

Virtual Conference Platform

When will I have access to the virtual event platform? When will that access end?

All registrations will receive an email notification from AAOHN when the platform is available in early April. AAOHN will also present a Virtual Meeting 101 session to demonstrate the platform and help attendees feel comfortable in the new experience. All content will be made live at the beginning of the National Conference, Tuesday, April 13. In the spring, AAOHN will host a Virtual Conference 101 that will walk you through the virtual meeting platform. You’ll receive information about how to attend this tutorial by email in early March. If you can’t join the live Conference 101 session, we will make sure to share the recording with all attendees along with providing plenty of “how to” instructional information. You will also receive access to the platform a few days prior to the start of the meeting to have time to build your profile, register for specific sessions, and get acquainted with the site.

What ADA accommodations will be made in the virtual experience platform?

AAOHN complies with the Americans with Disabilities Act and is committed to providing a positive experience for all of our attendees.
